Overview
Re-sync an academic term after classes, rooms, meeting schedules, instructors, instructional methods, or section statuses change in the SIS. Room Reservations compares the latest SIS data with the classes imported by the previous run.
The SIS is the source of truth. A re-sync can create new classes, update changed classes, leave unchanged classes alone, and delete imported classes that were removed or cancelled in the SIS.
Prerequisites
- The term has been imported previously
- SIS Import is enabled
- You are a Platform Admin or Facilities Manager
- Your SIS connection is enabled
Start a Re-sync
- Open Reservations → SIS Import.
- Select Run Sync.
- Select a term marked as previously imported.
- Review the previous sync date and confirmation message.
- Confirm that the term should be re-synced.
Room Reservations retrieves the current term from the SIS and compares it with the imported schedule.
Review the Delta Preview
The re-sync preview focuses on changes since the previous successful import.
| Classification | Meaning |
|---|---|
| New | The section was not present in the previous imported schedule |
| Updated | An existing imported section changed |
| Conflict | A new or updated class now overlaps an approved reservation |
| Unmapped | The section's SIS room is not mapped to a Room Reservations space |
| Removed | The section was cancelled, made inactive, or otherwise removed from the SIS schedule |
| Unchanged | The section matches the imported reservation and is excluded from the change list |
Updated classes show what changed, such as:
- Room assignment
- Meeting time
- Meeting days or recurrence
- Term or meeting dates
- Instructor
- Instructional method
Handle Removed Classes
Removed classes are displayed as a warning. No keep-or-delete decision is required.
When the re-sync is applied:
- Reservations imported for the removed class are deleted.
- Manually created reservations are not deleted.
- The removed class is recorded in the run results.
- The same removal does not continue appearing in later previews after it has been applied.
To retain an academic class, restore or correct it in the SIS before completing the re-sync.
Resolve New Conflicts
Updated or new classes that conflict with approved reservations use the same global conflict strategies as a first import:
- Override existing reservations
- Skip conflicting dates
- Skip the entire section
The selected strategy applies to all conflicts in the re-sync.
Apply the Re-sync
- Review the new, updated, conflicting, unmapped, and removed classes.
- Complete any required room mappings.
- Select a conflict strategy when conflicts exist.
- Start the import.
- Review the completion summary after processing finishes.
Room Reservations updates the existing imported class reservations instead of creating duplicates.
Common Use Cases
A Class Moves to Another Room
Update the room assignment in the SIS and re-sync. The imported reservation moves to the newly mapped Room Reservations space. If the new room is not mapped, map it before applying the re-sync.
A Class Changes Time
Update the meeting schedule in the SIS and re-sync. If the new time conflicts with an approved reservation, the class follows the selected conflict strategy.
A Class Is Cancelled
Mark the section cancelled or inactive in the SIS. The re-sync lists it as Removed and deletes its SIS-imported reservations when applied.
Only Notes Need to Change
Notes and descriptions are not controlled by the SIS and can be edited directly in Room Reservations.
Troubleshooting
| Issue | Resolution |
|---|---|
| A changed class appears Unchanged | Confirm that the change was saved in the SIS and affects a room, date, time, recurrence, instructor, or instructional method |
| An updated room is Unmapped | Map the new SIS room to a Room Reservations space |
| A removed class still appears in Room Reservations | Confirm the re-sync completed successfully and review Sync History |
| A manual reservation was affected unexpectedly | Contact Concept3D Support with the term and sync-run details; automatic removal should only affect SIS-imported reservations |
| The same class is created twice | Contact Concept3D Support with the SIS provider, term, course, and section |
