Overview
If you are a Platform Admin or Facilities Manager, you can import an academic term from a supported SIS into Room Reservations. The import creates Academic reservations for class meetings so those rooms are unavailable to event bookings.
Review the entire import before starting it. The selected conflict strategy applies to every conflict in the run.
Prerequisites
- SIS Import is enabled for the platform
- You are a Platform Admin or Facilities Manager
- Your SIS connection is configured and enabled
- The selected term contains active sections with meeting schedules
- Room Reservations spaces exist for the rooms being imported
Step 1: Select a Term
- Open Reservations → SIS Import.
- Select Run Sync.
- Select an academic term.
- Select Next.
Room Reservations begins retrieving the term and preparing its classes in the background. The run can continue processing after leaving the page.
Previously imported terms display their latest synchronization information. Selecting one begins a re-sync rather than a first import. See Re-sync an Imported Academic Term.
Step 2: Map SIS Rooms
On Space Mappings, match each SIS room to an existing Room Reservations space.
- Previously saved mappings are selected automatically.
- Unmapped rooms can be left unresolved, but their classes will be skipped.
- Classes without a room assignment in the SIS cannot be imported.

Step 3: Preview the Import
Review the classes that Room Reservations prepared. The preview can include:
- Course and section
- Instructor
- Instructional method
- SIS room and mapped Room Reservations space
- Meeting days and times
- Term dates
- Import status
- Conflicting reservation information
Common statuses include:
| Status | Meaning |
|---|---|
| New | The class has not been imported before and does not conflict with an approved reservation |
| Conflict | One or more class meetings overlap an approved reservation |
| Unmapped | The SIS room has not been mapped to a Room Reservations space |
| Unroomed | The SIS record does not contain a usable room assignment |
| Skipped or flagged | The class is missing required schedule information and cannot be imported |
Step 4: Resolve Conflicts
If the run contains conflicts, select one strategy. The choice applies to every conflict in the run.
Override Existing Reservations
- Incoming classes are imported.
- Conflicting approved reservations are moved to Rejected status.
- An optional shared rejection reason can be entered.
- Affected owners and assigned service providers receive grouped notifications.
- Review the affected reservations before starting the import.
Skip Conflicting Dates
- The class is imported.
- Individual class meetings that conflict are omitted.
- Existing reservations remain approved and unchanged.
Skip Entire Section
- A class with a conflict is not imported.
- Existing reservations remain approved and unchanged.
Unmapped classes are skipped regardless of the conflict strategy.
Step 5: Start and Review the Import
- Confirm the conflict strategy.
- Select Start Import.
- Monitor the processing state or leave the page and return through Sync History.
- Review the completion summary.
The summary distinguishes classes from individual reservation occurrences. One recurring class can create many reservation records, so Classes Imported and Reservations Created are different measurements.
After the Import
- Imported reservations have Purpose: Academic.
- Course and section information identifies each imported class.
- Room, date, time, and recurrence fields are locked.
- Description and notes remain editable.
- Correct SIS-controlled information in the SIS, then re-sync the term.
Troubleshooting

| A term does not appear | Confirm that it is available through the connected SIS and meets the term-picker criteria |
| The preview has fewer classes than the SIS term total | Pending, cancelled, unroomed, or otherwise unusable sections may be excluded; the term total is not the final import count |
| A class is Unmapped | Map its SIS room to a Room Reservations space and refresh the preview |
| A class is Unroomed | Assign a room in the SIS, then run the import again |
| Start Import is unavailable | Complete the required conflict choice, or wait for Room Reservations to finish preparing the import |
| The import continues after leaving the page | This is expected; return through Sync History to monitor the run |
