Overview
Room mappings connect each room in the SIS to the corresponding space in Room Reservations. Once saved, mappings are reused for future imports and re-syncs so the same rooms do not need to be matched every term.
Mappings can be created:
- During an import on the Space Mappings step
- Outside an import from Integration Mappings → SIS Rooms
Prerequisites
- SIS Import is enabled for the platform
- You are a Platform Admin or Facilities Manager
- Your SIS connection has been configured and enabled
- Your target spaces already exist in Room Reservations
New Room Reservations spaces cannot be created from the import wizard.
Mapping Rules
- One SIS room can be mapped to one Room Reservations space.
- One Room Reservations space can be mapped to one SIS room.
- Room and building details help identify the correct match.
- A saved mapping is reused by later imports and re-syncs.
Map Rooms During an Import
- Start an SIS import and select a term.
- Wait while Room Reservations loads the classes and rooms for the selected term.
- On Space Mappings, review the unique SIS rooms found in the selected term.
- Use search to locate the matching Room Reservations space for each SIS room.
- Select the space.
- Save the mappings.
- Select Next to continue to Preview Import.
The table shows each unique SIS room once, along with the number of classes using it in the selected term.
Continue with Unmapped Rooms
Not every room must be mapped before continuing.
If a mapping is left empty:
- Classes assigned to that SIS room are listed as Unmapped.
- Those classes are skipped when the import runs.
- The skipped classes are included in the completion counts.
- The mapping can be added later and the term can be imported or re-synced again.
Classes that have no room assignment in the SIS are Unroomed. An unroomed class cannot be fixed through the mapping page. Assign a room in the SIS, then re-sync the term.
Manage Mappings Outside an Import
- Open Admin → Integration Mappings.
- Select the SIS Rooms tab.
- Search for a Room Reservations space or filter by mapping status.
- Select an available SIS room for the space.
- Repeat for additional spaces.
- Save the changes.
Saved changes apply to new imports and to imports that are still in progress. Preview totals and conflict results may change after a mapping is added, changed, or removed.
Change or Remove a Mapping
To change a mapping:
- Open Integration Mappings → SIS Rooms.
- Find the mapped Room Reservations space.
- Open the SIS room selector.
- Select another unclaimed SIS room.
- Save the changes.
To remove a mapping, select Unlink, then save the changes.
Changing a mapping does not move existing imported reservations immediately. Re-sync the affected academic term so the SIS schedule can be reconciled with the new mapping.
Troubleshooting
| Issue | Resolution |
|---|---|
| The expected SIS room does not appear | Confirm that at least one class in the selected term uses the room, then run the import again |
| A room cannot be selected | The SIS room may already be mapped to another Room Reservations space |
| A class remains Unmapped after saving | Refresh the preview or reopen the in-progress run from Sync History; confirm the mapping was saved |
| A class is Unroomed | Assign a room to the class in the SIS, then re-sync the term |
| The wrong Room Reservations space was selected | Change or unlink the mapping, save, and re-sync the affected term |
