Overview
The SIS integration imports official academic class schedules into Concept3D Room Reservations. Imported class meetings block classroom availability so Event Coordinators can schedule events without manually recreating the academic schedule or accidentally booking a room that is being used for a class.
The integration is designed for institutions that assign classrooms to sections in their Student Information System. The SIS remains the source of truth for the academic schedule.
The integration is:
- One-way: Academic schedule data moves from the SIS into Room Reservations. Changes made in Room Reservations are not written back to the SIS.
- Term-based: A Platform Admin or Facilities Manager selects the academic term to import.
- Administrator-triggered: Imports and re-syncs are started by a Platform Admin or Facilities Manager. The integration does not continuously monitor the SIS.
- Reviewable: Room mappings, incoming classes, and reservation conflicts can be reviewed before the import is applied.

Who Should Use the Integration
Platform Admins and Facilities Managers
If you are a Platform Admin or Facilities Manager, you can:
- Select an academic term to import or re-sync
- Map SIS rooms to Room Reservations spaces
- Preview incoming classes and data issues
- Review conflicts with existing reservations
- Select how all conflicts in the run will be handled
- Start the import and review its results
- Review Sync History
You must be a Platform Admin or Facilities Manager. Your institution must also have an enabled SIS connection.
Event Coordinator
If you are an Event Coordinator, you do not manage the SIS connection or run imports. Imported class meetings appear in classroom availability while you schedule events.
How an Import Works
The import wizard has five steps:
- Select Term: Select the academic term to import.
- Space Mappings: Match SIS rooms to Room Reservations spaces.
- Preview Import: Review incoming classes, schedules, instructors, instructional methods, mappings, conflicts, and skipped records.
- Resolve Conflicts: Select one strategy for every conflict in the run.
- Import: Monitor processing and review the completion summary.
Imported Reservation Data
An imported class reservation can include:
- Course and section identity
- Instructor name
- Instructional method
- Assigned room
- Meeting days and times
- Term date range
Course and section details make imported classes recognizable when reviewing their reservations in Room Reservations.
SIS-Controlled Fields
The following fields are controlled by the SIS and cannot be edited in Room Reservations:
- Space or room assignment
- Meeting date and time
- Recurrence pattern
Description and notes can still be edited in Room Reservations. To correct an SIS-controlled field, update the class in the SIS and re-sync the term.
Conflict Handling
You select one conflict strategy for the entire run:

| Override | Conflicting approved reservations are rejected. A rejection reason can be included, and affected owners and service providers receive grouped notifications. |
| Skip conflicting dates | The class is imported, but individual class meetings that conflict with existing reservations are omitted. |
| Skip entire section | A class with any conflict is not imported. Existing reservations remain unchanged. |
Conflict strategies are applied to the entire import, not selected separately for individual classes.
What Is Not Included
The integration does not:
- Assign classes to rooms
- Optimize the academic schedule
- Push room, date, or time changes back to the SIS
- Import classes without an assigned room
- Provide continuous or real-time synchronization
- Allow a different conflict decision for each class
- Support registrar, dean, or faculty scheduling workflows
