You must have one of these roles in the Rooms Admin to access and manage Custom Questions.
What are Custom Questions?
Custom Questions let you collect specific, additional information from users as part of the room reservation request process. These questions are fully configurable and can help you:
- Capture logistical needs (e.g., Do you need AV equipment?)
- Confirm compliance (e.g., Have you read the room use policy?)
- Gather context (e.g., What’s the purpose of this event?)
They appear on the reservation request form and can be customized based on space type, response format, and whether the question is required.
Use them to streamline approvals, reduce back-and-forth communication, and ensure you're collecting all necessary info before confirming a reservation.
Add Custom Questions: Step-by-Step Instructions
1. Navigate to the Custom Questions Menu
Go to Rooms Admin > Settings > Custom Questions.
2. View or Add Custom Questions
You’ll see a list of your current Custom Questions. To create a new one, click Add Custom Question.
3. Fill Out the Question Details
Question Text & Description
- Question: The text users will see.
- Description: Optional details or instructions for the user.
Settings
- Enabled: Toggle to make the question live.
- Required: Toggle to require the question before the reservation can be submitted.
4. Choose Which Space Types Apply
Select the Space Types that this question should apply to.
If no types are selected, the question will appear for all reservation requests.
5. Choose Response Type
You can select from:
- Text Field – short written answers
- Number Field – numerical input only
- Single Choice – select one option (radio buttons)
- Checkbox – select multiple options
For Single Choice or Checkbox:
You’ll be prompted to add the list of selectable options.

6. Save Your Custom Question
Click Save to add the question to your system.
Tips for Success
- Use clear, concise language in your question.
- Only mark a question as Required if it’s essential.
- Consider using different question types to match the kind of information you're collecting.

- What is the purpose of your event?
- Will catering be provided?
- What A/V or IT equipment will you need?
- Who is the faculty sponsor (for student-led events)?
- Is this event affiliated with a recognized student organization?
- Will cleaning services be required after the event?
- Have you reviewed and agreed to the room usage policy?
- Do you acknowledge and understand the building’s access and security requirements?
