⚠️ Your role must include approval permissions in order to approve or reject reservations.
Step-by-Step Instructions
1. Access Reservation Requests
In Rooms Admin, go to Reservations > All Reservations to see every reservation request.
- To view only requests awaiting action, click the Pending tab.
2. Review Requests
You’ll see each request’s status, basic details, and options to Review, Approve, or Reject — depending on your role.
If your role does not include approval privileges, the Approve/Reject buttons will not appear.
3. Open the Review Menu
Click Review to see full reservation details. From here, you can click Approve or Reject in the bottom-right corner.
4. Approve or Reject
Once you select an action:
- The user will receive an email notifying them of your decision.
- Rejected reservations cannot be resubmitted. The requester will need to submit a new request.
❌ Reject carefully — there's no way for the user to edit and resubmit the original request.
5. Assign Service Providers (Optional)
If your event involves logistics or support, you can assign Service Providers (previously added in Settings).
- Select a provider from the dropdown (only unused ones appear).
- Add a note describing their role or responsibilities.
- To remove a provider, click Delete next to their name.
Tips for Success
- Use the Pending tab to focus only on requests that need action.
- Communicate with requesters before rejecting if details are unclear — rejection is final.
- Assign Service Providers early for large or complex events to ensure proper coordination.
- Make sure your role includes approval rights if you don’t see Approve/Reject buttons.
