Overview
Every firing of a scheduled Operations Schedule report is logged, showing whether it sent successfully and, when it didn't. This article covers reading that history and what happens automatically when a delivery fails.
This article is for Event Coordinators, Facilities Managers, and Platform Admins who own or manage a scheduled report. See Scheduling Automated Report Delivery to set one up first.
Step by Step Instructions
Viewing history
- From the Scheduled Reports list, select "View history" on a schedule.
- The header shows the schedule's name, status, saved view, last run, and next run.
- Firings are listed newest first, 50 per page. Each row shows the firing time (in the platform's time zone), recipient count, and a Sent or Failed status.
- A successful PDF firing shows a Download PDF link for 24 hours after sending. Email-summary firings never show a download link, since there's no attachment.
- A failed firing shows a plain-language reason instead of a raw error (see table below).
What happens when a delivery fails
- A failed delivery, whether the report failed to generate or the email failed to send, is retried automatically a few times before being marked Failed for that firing.
- Once retries are exhausted, the report's owner receives an alert email naming the scheduled report and linking to its delivery history.
- A firing that succeeds on a retry does not trigger a failure alert.
Common Variations or Use Cases
- A schedule was paused and resumed across several missed occurrences. It fires once on resume and advances to the next future occurrence rather than backfilling every missed slot.
- The same firing is processed more than once internally. Only one email is sent and one history entry is recorded for that firing.

Troubleshooting
- A schedule keeps generating failure alerts. Check the recipient list for typos or invalid addresses first. That's the most common cause.
- History shows Sent, but a recipient says the email never arrived. Check spam or junk folders. A Sent status only confirms the email was accepted for delivery, not that it reached an inbox.
- The Download PDF link is missing on an otherwise successful firing. The 24-hour download window has passed, or the format was Email summary, which never includes an attachment.
