Overview
Facilities Managers and Platform Admins can see and manage every saved Operations Schedule report view at their institution, including views and schedules left behind by coordinators who never shared their work, or who have since left. This article covers that platform-wide oversight.
This article is for Facilities Managers and Platform Admins.
Prerequisites
- Facilities Manager or Platform Admin role.
Step by Step Instructions
- Open Manage views and select the "All Views" tab (only visible with the Facilities Manager or Platform Admin role).
- The tab lists every saved view at the platform: Name, Description, Owner, and Last modified. If the owning user's account has been deleted, the Owner column shows their snapshotted display name with "(deleted)" appended.
- Every row supports the same Load, Rename, Edit details, and Delete actions available on the Mine tab, usable on any view regardless of who owns it.
- Loading a non-owned view for editing shows Update view and Revert exactly as it would for the owner. An admin-override indicator marks that the schedule or view being managed belongs to someone else.
- Each row's Schedule column shows its recurrence and Active/Paused status, with a Manage menu offering Edit, Pause, Resume, Delete, and View history for that view's schedule. Rolling-window views without a schedule yet show a "Schedule delivery" link. Views on an absolute date range show "Not available."
Common Variations or Use Cases
- A coordinator with saved views or schedules has left the institution. Their work remains fully accessible and manageable through All Views. Nothing is removed when an owner's account is deleted.
- A coordinator without the manage-all role tries to reach another coordinator's view or schedule directly by URL. Access is denied.
Troubleshooting
- The "All Views" tab is missing from Manage views. Requires the Facilities Manager or Platform Admin role.
- A view's Schedule column shows "Not available." The saved view uses an absolute (Custom) date range, which can't be put on a delivery schedule.
