Overview
The Operations Schedule report can be saved as a named view so its filters don't need to be re-entered every session. A saved view can be reloaded on demand, shared with others (see Sharing Saved Report Views), or put on an automated delivery schedule (see Scheduling Automated Report Delivery).
This article covers the rolling date-window presets and the core save, load, rename, update, and delete workflow.
This article is for Event Coordinators, Facilities Managers, and Platform Admins.
Prerequisites
- Event Coordinator, Facilities Manager, or Platform Admin role.
Step by Step Instructions
Rolling date-window presets
- A segmented control at the top of the Operations Schedule filter form offers six options: Today, This week, Next 7 days, This month, Next 30 days, and Custom.
- Selecting a preset doesn't run the report automatically. Selecting Custom reveals the standard start/end date pickers instead.
- "Next 7 days" is selected by default on first load. The selection resets to "Next 7 days" on refresh or navigating away. It isn't remembered between sessions on its own (saving it as a view is what makes it stick, see below).
- Rolling windows resolve as follows. Today is the current day. This week is Sunday through Saturday of the current week. Next 7 days is today through today plus 6. This month is the first through last day of the current calendar month. Next 30 days is today through today plus 29.
- After running the report, the page displays the resolved literal date range, and PDF export and Email summary both use that resolved range.
Saving a view
- Set the desired filters: date preset or custom range, statuses, buildings, space types, service providers, group by, sort, and report view.
- Select "Save view," next to the PDF and Email actions.
- Enter a Name (1 to 80 characters, unique among the coordinator's own views, case-insensitive) and an optional Description (up to 500 characters).
- Save. Up to 50 views can be saved per coordinator.
Loading a saved view
- The Saved view picker lists owned views, most recently saved first. Selecting one applies its filters and runs the report immediately.
- A saved view can be bookmarked or shared as a link. Opening that link auto-loads and runs the view, as long as it's still owned or accessible. If the view is no longer available, a toast explains why and the page falls back to its default state.
- If a saved view references a building, space type, or service provider that no longer exists, those values are dropped silently and the report still runs with the remaining filters, with a toast noting it.
Updating, reverting, and clearing
- After loading a view and changing any filter, "Update view" and "Revert" appear next to the picker. Update view overwrites the saved filters (name and description stay the same). Revert restores the form to the saved state without running the report.
- Clear Filters, when a view is loaded, also deselects it, clears the saved view from the page's link, and resets the date preset to "Next 7 days."
Managing saved views
- "Manage views" lists Name, Description, and Last modified for the coordinator's own views.
- Rename and Edit details use inline editing directly in the row. Delete uses an inline confirmation.
- Renaming updates the picker immediately. Deleting the currently loaded view returns the report to its default state.
Common Variations or Use Cases
- Two views end up with the same name. Names must be unique (case-insensitive) among a coordinator's own views. An inline error appears and the save is blocked until the name changes.
- Hit the 50-view limit. Delete an older, unused view before saving a new one.
Settings and Configuration Options and Definitions
| Term | Meaning |
|---|---|
| Saved view | A named snapshot of the Operations Schedule filter state |
| Saved view picker | Dropdown listing views available to load |
| Manage views | Modal/page for renaming, editing, or deleting owned views |
| Update view | Overwrites a loaded view's saved filters with the current form state |
| Revert | Restores the form to the view's last-saved state |
Troubleshooting
- "Save view" doesn't appear. The account isn't an Event Coordinator, Facilities Manager, or Platform Admin.
- A loaded view is missing some filters. A referenced building, space type, or service provider was deleted. The remaining filters still run.
- A bookmarked or shared view link stopped working. The view was deleted, or access to it was revoked.
