Overview
Some institutions make certain campus spaces visible to the public through Public Space Discovery, a map that can be browsed without an account. It's possible to explore available spaces, check details and availability, and submit a request, with no login required unless signing in with an existing account.
This article is for anyone browsing an institution's public space discovery map.
Step by Step Instructions
- Open the institution's public space discovery link (shared on the institution's website or provided directly).
- Browse the map. Every publicly visible space shows by default. Use the floor controls to move between levels in a multi-floor building.
- Optional: enter a date and time window to narrow the map to only spaces free for that entire window. Clearing the window returns to browsing everything.
- Select a space to open its detail page, showing name, capacity, building, photos, description, and operating hours.
- Select "See Availability" to view when the space is busy versus free. Only busy/free status is shown. No reservation details, names, or notes are included.
- Select "Request this space" to move to the institution's request form. The selected space, and the date/time window if one was entered, carries over automatically.
- Fill out and submit the request. From here, it's an ordinary request submission. See Submitting an External Room Request for what happens after submitting.
Signing in with an existing account
A "Log in" option is available from the map. Anyone with an existing account can sign in from here to reach the full Room Reservations experience instead of browsing publicly.
Common Variations or Use Cases
- A space type isn't generally public, but a specific room still shows up. The institution has made that individual space visible on its own, separate from its space type.
- No "Request this space" option appears on a space's detail page. The institution hasn't finished configuring a request form to receive public requests yet. Reach out to the institution directly.
- The public link redirects to a login page instead of showing a map. The institution has turned off public space discovery, or hasn't enabled it yet.
Troubleshooting
- Selecting a space leads to a "not found" page. The space, or its public visibility, changed after the map loaded. Return to the map and select again.
- Availability times look off. Times are always shown in the institution's local time zone, which may not match the time zone of whoever is browsing.
- The request form's pre-filled space isn't the right one. The field stays editable. Search for and select the correct space before submitting.
