Outlook Integration Admin Implementation Checklist
Use this checklist to confirm the Outlook Calendar Integration is fully configured and validated before going live. Complete each section in order — later sections depend on earlier ones.
Microsoft Setup
- App registration created in Microsoft Entra
- Application (Client) ID recorded
- Directory (Tenant) ID recorded
- Object ID recorded
- Client secret generated
- Client secret value saved immediately (Microsoft displays this value only once)
- Client secret expiration noted — 12–24 months recommended
- Microsoft Graph Application permissions added (not Delegated permissions):
Calendars.ReadWritePlace.Read.AllUser.Read.All
- Admin Consent granted for all three permissions
Concept3D Setup
For your Concept3D Partner Success Manager or Onboarding Specialist:
- Navigated to Root Admin → Manage Platform → Integrations → Outlook
- Outlook Calendar toggle enabled
- Tenant ID entered
- Client ID entered
- Client Secret entered
- "Check Permissions" validates successfully
Mapping Configuration
- Navigated to Admin → Settings → Integration Mappings → Outlook Calendars
- All Spaces mapped to their corresponding Outlook room calendars
- All mappings saved
Validation
Note: When the integration is first enabled, only future events sync — existing past reservations are not backfilled, and past Outlook events are not imported into Room Reservations.
- Test reservation created in Concept3D → confirmed visible in Outlook within ~5 minutes
- Test reservation created in Outlook → confirmed visible in Concept3D
- Room calendar added to Outlook sidebar for ongoing visual verification
