What are Managed Updates?
Managed Updates is an annual subscription designed to keep your map accurate and up to date without the need for individual statements of work, quotes, or approval cycles for every change.
Instead of requesting updates one at a time, you choose a plan based on how often your map changes throughout the year. Updates included in your plan can then be submitted as needed, helping you plan ahead, reduce administrative overhead, and ensure your map reflects current conditions across your campus or venue.

How Managed Updates Work
Follow these simple steps to keep your map current throughout the year:

Choose how many updates
Select a Managed Updates plan based on how many updates you expect to need annually. -
Submit update requests
Submit update requests through our support portal. Updates included in your plan do not require additional quotes or approvals. -
We complete your updates
Updates are completed based on request complexity, your plan, and current volume. Most updates are completed within approximately 30 business days*. -
Upgrade if your needs change
If your update needs increase, you can upgrade your Managed Updates plan at any time during your term.
*Note: In general, updates are completed within 30 days. Seasonality and scale of updates may impact timelines. Tier and order submitted will impact priority. There may be a 6-8 week turnaround depending on the complexity of the request. If your requests include print map updates, the print map will be updated once all edits to the interactive map are approved.
Managed Updates Plans
Managed Updates plans are based on the total number of updates available per calendar year, not when those updates must be used.
You may use your updates at any cadence that fits your needs, as long as all updates are submitted and completed within the same calendar year.
For example, if your plan includes four updates per year, you may use all four updates in a single quarter or spread them evenly throughout the year.
Yearly Refresh - 1 update per year
- Best for: Stable environments with minimal change
- Ideal if: You want one planned annual update to keep your map accurate
Occasional Changes - 2 updates per year
- Best for: Environments with some change during the year
- Ideal if: Updates are predictable and limited
Routine or Quarterly Updates - 4 updates per year
- Best for: Campuses or venues with ongoing activity
- Ideal if: Updates are part of normal operations and you want to avoid changes piling up
Always Current or Monthly Updates - 12 updates per year
- Best for: High-change or high-visibility environments
- Ideal if: You want a reliable monthly update rhythm and frequent adjustments
What’s Included in an Update
What updates are included depends on the features you license. Updates may include:
- Exterior rendering updates within existing boundaries
- Label updates
- Wayfinding updates tied to rendering changes
- 360 panorama processing
- Custom or seasonal overlay updates
- Interior updates
- Custom print map updates (note: only completed quarterly)
If you’re unsure whether a request is included, your Concept3D team can confirm before work begins.
What’s Not Included
The following items require a separate purchase if not already part of your agreement:
- Wayfinding setup
- Custom print maps (initial creation)
- Seasonal or custom overlays (initial creation)
- Photography site visits
- Tour stops
- Space Planner updates
- Other products from Concept3D

To help ensure faster turnaround, we recommend:
- Grouping related changes into a single request
- Including clear descriptions, marked-up screenshots, or reference files
- Submitting requests ahead of peak or seasonal periods
Client Responsibilities
To ensure accurate and timely updates:
- Clients are responsible for providing accurate and complete data for all update requests
- Requests may require CMS entry or data uploads depending on your licensed features and plan tier
- Related changes should be grouped into a single request whenever possible to improve turnaround time
Purchasing Details
Once Managed Updates are added to your account, they remain part of your map package for the duration of your relationship with Concept3D. This structure allows for predictable pricing and consistent service over time.
- Managed Updates are billed annually with your base map package
- Customers who commit to three or more years receive a 10% discount on the Managed Updates package
- Managed Updates are a use-it-or-lose-it service. Updates must be used within the term and do not roll over into future terms
- Managed Updates plans may be upgraded at any time
If you choose to remove or downgrade Managed Updates:
- You must transition to current market pricing and packaging for the base map product
